Getting Started
Yoley is a free iOS app for UK tradespeople. Download it from the App Store and you’re ready in under two minutes — no forms, no sales calls, no credit card required.
Download & Install
- 1Open the App Store on your iPhone and search for Yoley.
- 2Tap Get (it’s free). The app installs in seconds.
- 3Open Yoley and follow the brief onboarding — enter your name, business name, and pick your trade.
- 4That’s it. You’re in.
Setting Up Your Business Profile
Tap the burger menu (three lines, top left on any screen) and select Settings. From here you can set:
- ●Business name — appears on all quotes and invoices.
- ●Business address — shown on quote footers for HMRC compliance.
- ●Logo — upload your company logo to brand your quotes and invoices.
- ●VAT number — if you’re VAT registered, add your number here and it appears on all documents.
- ●Payment terms — set your default payment due date (e.g. 14 or 30 days).
Dashboard
The Dashboard is your home screen — a live overview of how your business is performing today, this week and this month.
KPI Cards
The four KPI tiles at the top show:

Today’s Jobs
The lower section shows any jobs scheduled for today. Tap a job to open the full job detail, including map and commute time.
Quotes
Create professional, branded quotes in seconds. Yoley tracks each quote through its full lifecycle from draft to accepted, and handles customer approval — even when it happens over the phone.
Creating a Quote
- 1Tap the Quotes tab → + (top right).
- 2Search for an existing customer or tap New Customer to add one on the fly.
- 3Enter a job title (e.g. “Full bathroom refit”). Add a reference number if needed.
- 4Tap Add Line Item to add labour, materials, or use a Kit Bundle.
- 5Optionally add notes, photos or a validity expiry date.
- 6Tap Save to keep as a draft, or Send to deliver immediately.
Quote Statuses
| Status | Meaning |

| Draft | Saved but not yet sent to the customer. |
| Sent | Delivered to the customer via email or SMS. |
| Opened | Customer has opened the quote link. |
| Accepted | Customer has accepted — ready to schedule and invoice. |
| Declined | Customer declined the quote. |
| Expired | Past the validity date without response. |
Manually Approving a Quote
When a customer approves over the phone, via text or by any other method not captured in the app, you can record the approval manually:
- 1Open the quote from the Quotes list.
- 2Tap the green Manually Approve button next to the status badge at the top of the screen.
- 3Select how the customer approved: Phone, Text, Email, or Other.
- 4Optionally add a comment (e.g. “Agreed to proceed, start date 15th”).
- 5Tap Confirm Approval.
Sending a Quote
From any quote, tap Send. Choose to deliver by:
- ✉Email — sends a formatted email with a link to the branded quote page.
- 💬SMS — sends a short message with the quote link.
- 🔗Share Link — copies the link so you can share via WhatsApp or any other channel.
Invoices
Invoices in Yoley include a payment link by default so customers can pay online as soon as they open the invoice — no chasing required.
Converting a Quote to Invoice
- 1Open an Accepted quote.
- 2Tap Convert to Invoice at the bottom of the screen.
- 3All line items, customer details and notes copy across automatically.
- 4Set a due date (your default payment terms apply, but you can override).
- 5Tap Send Invoice.
Creating a Standalone Invoice
You don’t need a quote first. Tap Invoices → + and fill in the customer and line items directly.
Payment Links
Every invoice includes a secure payment link. When your customer taps the link, they can pay by card at 1.49% (Free plan) or 0.99% (Pro). Funds settle within 1–2 working days.
Expenses
Track every business expense. Snap a receipt and Yoley’s on-device OCR extracts the amount, VAT and supplier — then files it under the correct HMRC SA103 box automatically.
Scanning a Receipt
- 1Tap Expenses → Scan Receipt (camera icon).
- 2Hold your phone over the receipt. OCR runs on-device and extracts the total, VAT amount and supplier name.
- 3Review the extracted values — you can edit any field if the scan missed something.
- 4Choose an HMRC category from the list.
- 5Tap Save.

Job Diary
The Job Diary shows a 14-day rolling calendar of your scheduled work. Schedule jobs from accepted quotes or create standalone appointments. Each job shows the customer location on a map with live commute time from where you are.
Scheduling a Job
- 1Tap Job Diary → Schedule Job (top right).
- 2The sheet shows three options: accepted quotes ready to schedule, unaccepted quotes you can approve on the spot, and New Job (No Quote).
- 3Select a quote or tap New Job.
- 4Set the start time and end time. Add or edit any job notes.
- 5Tap Save Job.
Approving a Quote from the Job Diary
If a quote hasn’t been accepted yet but the customer has verbally confirmed, tap it in the schedule sheet and choose Approve & Schedule. Select the approval method (Phone, Text, Email, Other) and add a comment before continuing to the schedule form.
Job Detail & Map
Tap any job in the diary to open its full detail view. This includes:
- 📍An interactive map showing the job’s address (from the customer record).
- 🚘Driving commute time from your current location, calculated via Apple Maps.
- 🔗An Open in Apple Maps button for turn-by-turn directions.
- 🗒Job notes, status, linked quote and customer details.
Weather Forecast
Customers
Yoley’s CRM keeps every customer’s contact details, address, job history, quotes and invoices in one place.
Adding a Customer
- 1Tap Customers → +.
- 2Enter first name, last name, phone number and email address.
- 3Add the customer’s address (used for job location maps and quote footers).
- 4Tap Save.
Customer History
Opening a customer record shows the full history: all quotes sent, all invoices raised, all jobs completed, and total revenue from that customer.
Payments
Yoley processes card payments via Monek, a UK FCA-regulated payment provider. You never need a card reader — payment links and Tap to Pay work entirely through your iPhone.

Setting Up Card Payments
First-time setup requires identity verification (takes 2–3 minutes). Go to Settings → Card Payments and follow the prompts. Once verified, payment links and Tap to Pay are active immediately.
CIS — Construction Industry Scheme
Yoley supports CIS subcontractor management for contractors who engage other tradespeople on site. Track UTR numbers, deduction rates and payment records.
Adding a CIS Subcontractor
- 1Tap Customers and find or add the subcontractor.
- 2Toggle CIS Subcontractor on.
- 3Enter their UTR number and select the deduction rate (20% standard, 30% unverified, or 0% gross payment status).
- 4Save. CIS deduction is calculated automatically on any invoice raised against them.
Tap to Pay on iPhone
Turn your iPhone into a card machine. Accept contactless Visa, Mastercard and Apple Pay at 0.99% — no card reader, no additional hardware.
Taking a Payment on Site
- 1Open the invoice → tap Collect Payment → Tap to Pay.
- 2Enter the amount (defaults to the invoice total).
- 3Present your iPhone to the customer. They tap their card, phone or watch.
- 4Payment confirmed. Invoice automatically marks as Paid.
Open Banking
Connect your business bank account to Yoley. Incoming payments are automatically matched to outstanding invoices so your books stay up to date without manual entry.
Connecting Your Bank
- 1Go to Settings → Open Banking.
- 2Find your bank from the list (supports all major UK banks).
- 3Authorise read-only access via your bank’s own app or website. Yoley never sees or stores your banking credentials.
- 4Transactions sync automatically. Yoley highlights any that match open invoices.
WhatsApp & Social Enquiries
Capture new job enquiries from WhatsApp, Facebook, Instagram and Google directly into your Yoley pipeline. Never lose a lead in a DM again.
Once configured, enquiries from connected channels appear as leads in the Pipeline view. Tap a lead to review the message, create a customer record and convert it into a quote — all without leaving Yoley.
Yoley Capital
Yoley Capital provides short-term cash advances to help you bridge the gap between starting a big job and getting paid. Advances are based on your invoicing history within Yoley.
To see if you’re eligible, go to Settings → Yoley Capital. Eligibility and available amounts update as your transaction history grows.
Security
Yoley uses Apple’s built-in security features to keep your business data private on your device.
Face ID / Touch ID App Lock
- 1Tap the burger menu (top left) → scroll down to App Lock.
- 2Toggle App Lock on.
- 3Next time you open Yoley, you’ll be asked to authenticate with Face ID or Touch ID before the app opens.
CloudKit Sync & Backup
All your data is automatically backed up and synced via Apple CloudKit. Your data is stored in your personal iCloud account — Yoley’s servers never hold your business data. If you get a new iPhone, sign in with the same Apple ID and everything restores automatically.
